Files and documents
Every lease, certificate, plan and photo lives in one store, attached to the record it belongs to. Anyone with access to the record sees its files.
Folders organise each site with visibility set per folder. Internal folders stay staff only, resident folders surface in ResidencePort, and contractor folders open in ContractorPort for the relevant work order. Versioning keeps the history when a document is superseded, so the original stays on the record instead of disappearing. Bulk upload brings a whole archive across in one pass and search finds files across the portfolio. Files are encrypted at rest in a managed cloud store, with room for documents up to 200 megabytes.
